Appointment Quick Guide

When you click in the calendar to create a new appointment or open an existing appointment, there are lots of great features embedded in the client appointment window that opens up that may be really useful to you. These are summarized in the new Quick Guide we have created shown below and also available on our Help & Support pages. These features include hiding the details of an appointment if it's private, setting up recurring appointments, and looking up a client by starting to type their name. The client appointment window can also be customized by adding or removing fields. How to do this is also shown in this Quick Guide.

Calendar Hours Range

By default, the day and week calendars show a full 24-hour period from midnight to midnight, but now you can change this and make the range of hours shown match your business hours. For example, your business may only schedule client appointments between 10:00 AM and 6:00 PM, so you do not want to have hours before 10 or after 6 shown on the calendar. To change the range of hours shown, go to Settings > Calendar Settings and adjust the sliders labeled Calendar Hours Range.
If an appointment is scheduled for a time outside of the calendar hours range, then a popup alert will let you know when you're on the appointment date.

Mobile Calendar Expanded with Work Hours

Now when you access your Schedapple calendar using a mobile device such as an iPhone, Android phone or tablet, the calendar shows the work hours for the date selected for each staff member. In addition, staff members without any appointments on that date are also shown so you can see everyone's availability at a glance.
The new mobile calendar features include the daily work hours for each staff.

Using a Staff Email Address on Client Emails

When a client appointment confirmation or reminder email is sent, the email is sent from the business' email address (the from/reply-to address on the email message). A new feature lets you to replace the business email address with a staff member's email address on these client emails. For example, an employee wellness program may prefer that appointment confirmation emails come from the wellness coach they are scheduled to work with, enabling employees to reply directly to their coach via email.
To have your staff members' email addresses shown on the appointment confirmation and reminder emails sent to your clients, instead of your general business email, go to Settings > Staff Calendars/Schedules & Work Hours and click the staff member's name to edit the details for that staff. In the page that opens, go to the Staff Details section and enter their email address. This will replace the business email address as the from/reply to address on the appointment confirmation and reminder emails sent to clients for appointments with that staff. Repeat this for all staff you want to use this feature for. If the staff email address field setting is left blank, then the business email address will be used on the client email.

New Tools for Sending Mass Emails to your Clients

Sending emails to your clients just got easier. We've added the ability to select specific groups of clients to receive an email based on the location and staff member assigned to the client. Of course you can still refine this email list by removing individual clients from the selection before sending the email.
It's a great way to announce new services and staff, and provide tips to your clients. We follow industry best practices when we send your mass email to prevent the email from being considered as possible spam and to keep your client list private. Emails will go out in small batches at 5-minute intervals; if you want to send messages at a high rate or in high volume, then we recommend using an email marketing service like MailChimp.

Improved Address Verification for Services at a Client's Location

We've improved our ability to check that a client's address is within your service area when an appointment is being scheduled at a client's site.

For businesses that provide services at their clients' addresses (e.g. home services companies), defining the geographic area or the maximum driving distance that forms your service area, whose residents you can provide services to, is important. Equally important is verifying that a client's address is within this area before allowing an appointment to be scheduled.

In Schedapple, when services are provided at the client's address, you can define a service area by entering an address and radius (maximum distance from the address) and Schedapple will then accept appointments only if they are within this geographic area.

Go to Settings > Locations to set up the service area for your business. Then go to Settings > Services and open/edit each service and check the 'Appointments are at the Client's Location' box.
